Description
Users of the software can be stored hierarchically on the SSA-System website. A separate entry is created for each user. You must therefore define their permissions and role. You can select from the roles of administrator, superior and employee.

To create a new entry, click on the orange "Add" button in the “list view”. The input screen for creating a user opens. To build the hierarchical structure, the correct superior must be selected. In the “list view” the users are sorted alphabetically. Under “organigram”, the system automatically creates the hierarchical structure of the users entered. The organigram is opened by clicking on the arrows. Active and inactive users are displayed, which can also be edited from this view. It is also possible to set a profile picture, which will appear on the SSA-System web to the left of the logged-in name. Under “administration”, the administrator can carry out mass import, editing and deletion.
There are two ways to delete a user:
- Under Team (Change User), the affected user can be set to "inactive" in the status. This removes the user from the team. All actions of this user remain in the system. In addition, the e-mail address of this user remains in the system and no new user can be created with this address.
- The user can be deleted under Team (3 points). However, this is only possible once this user is no longer mentioned anywhere. All his actions must first be deleted or replaced by another user. Thus, this user is no longer in the system.
Another helpful function is being able to assign target values for planned and instant audits and/or feedback that the user should meet within a defined period. These always refer to the current calendar year, for example from 01.01.2022 until today.
Example targets:
Year of registration: If a user was registered in the current year, e.g., on 15. June 2022, the target values are calculated from the month of recording (incl. June) on the exact day.
- User registered on 15.06.2022; Target value = 1/month -> total till 14.10.2022 = 4 (Jun.-Sept.)
- User registered on 15.06.2022; Target value = 1/month -> total from 15.10.2022 = 5 (Jun-Okt)
- User registered on 18.07.2022; Target value = 1/quarterly -> total till 17.10.2022 = 1 (quarter 3)
- User registered on 18.07.2022; Target value = 1/quarterly -> total from 18.10.2022 = 2 (quarters 3 & 4)
After year of registration: From the beginning of a new year, the calculation is always made on the first of the month.
- User registered on 15.06.2022; Target value = 1/month -> total from 01.05.2023 = 5 (Jan-May)
- User registered on 18.07.2022; Target value = 1/quarterly -> total from 01.04.2023 = 2 (quarters 1 & 2)
