Extension of Data Access via Contact Persons
By assigning a contact person, a user's data access can be selectively expanded. This makes it possible to grant any user in the system access to another user's data—independent of the hierarchical structure. The assigned contact person gains access to all data of the selected user as well as to the information of all their subordinates.
Typical use cases include assigning functions such as Safety Officers (SiBe) or Workplace Safety Contact Persons (KOPAS).
Note:
Administrators can see all data in the system with their own account. However, if data access is granted to an administrator, they do not see all data! They only gain access to the administrator’s own data and that of their subordinates. This functionality is always based on the organizational structure.
Available Fields
Role Name | Indicates the function or role of the assigned person (e.g., Safety Officer, KOPAS). This name becomes relevant particularly if the person is to be available later for selection or assignment within the system. |
Assigned Person | The person who is granted extended data access. |
User's Data Access | The person whose data is made accessible to the assigned person – including all their subordinates. |
Settings
Measures | Grants access to the Measures module. This option is automatically enabled when access to Audits or Events is granted. |
Planned Audits | Allows access to the Planned Audits module. |
Spontaneous Audits | Allows access to the Spontaneous Audits module. |
Incident Investigations | Allows access to the Events module. |
Available for Selection/Assignment | Makes the assigned person (including role title) available in the system to be assigned to measures, audits, or events. |
Assignment
If the user is enabled for selection/assignment, they will appear in the list of responsible persons for each entity.
Important: Once the entity is saved, the responsible person is automatically updated to the assigned user!
